Documents for customs clearance of goods


The following documents and information are required before we can clear the cargo to you.

Documents necessary for carrying out customs import formalities:

- authorization (original) your company authorizes SIA FORWARDER. We will send out the sample;
- Item invoice (invoice). Information required on the bill of goods (see below);
- Transport invoice - invoices for transport costs, loading, and storage of goods, if any, until the moment of customs clearance.

Consignment note:

- CMR - used in road transport;
- Airway Bill - used in air transport;
- Bill of lading - used in maritime transport;
- SMGS - used in rail transport;
- mailing slip - used in postal transports.

Transit accompanying document with which the consignment was brought (T1 – transit declaration, Tira carnet).

It would be very helpful to know whether your company has been authorized to apply a special system of value-added tax to the importation of goods – deferred VAT, which allows the goods to be cleared at the time of customs clearance, excluding VAT from the Treasury, but only when the goods leave your warehouse when they are sold to another company.

Document proving the origin of the goods — original (EUR certificate, certificate of origin form A, AED, Invoice — Declaration). The certificate of origin is optional but its existence reduces the import duty payable.

Document of the Phytosanitary border inspection (for plant products, e.g. wooden planks, fruits, vegetables). A phytosanitary certificate will be required. If the goods are on pallets, pallet control shall be carried out by the FVO at the border, in return for a document accompanying the crossing of the FVD border.

- If the goods are to be consumed for human consumption, the FVO shall carry out cargo control at the border in return for a document accompanying the crossing of the FVD border (quality and analysis certificates will be required for toys, foodstuffs, etc.). It is true that, until the goods are cleared, the undertaking is required to register the FVO, which could be done in good time – a week in advance.

- import licenses (for textile goods, strategic goods, medicines, etc.).

Evidence of a reduced VAT rate (e.g. a certificate from the Ministry of Health) for goods eligible for a reduced VAT rate.

The product invoice (invoice) should contain the following information:

- consignor, name, address;
- consignee, name, address;
- the name, and address of the buyer, if the buyer is not the consignee of the goods;
delivery address;
- the invoice number and date;
- terms of delivery (according to Incoterms);
- the name/description of the product;
- the customs code of the goods;
- gross and net weight of the commodity;
- number of units of goods (or m2, m3, running meters);
- the unit price of the commodity;
- value of the commodity, currency;
- number of transport packages (number of places).

Documents that are necessary for carrying out export customs formalities


- Item invoice (invoice) or other documents where you can find the product name, number of items
(or m2, m3, running meters), number of places, gross weight, net weight, value in currency, customs code of the goods.

- a statement on transport costs in the EU at the border.

- CMR - waybill.

- authorization (original).

- it is necessary to know the code of the office of destination, the number of customs security required (seals), as well as a copy of the technical passports of the means of transport.

Documents necessary for the completion of transit customs formalities


- Item invoice (invoice) or other documents where you can find the product name, number of items (or m2, m3, running meters), number of places, gross weight, value in currency, and customs code of the goods.

- CMR - waybill.

- authorization (original).

- an order for the application of the transit customs procedure.

- it is necessary to know the code of the office of destination, the number of customs securities required (seals), as well as a copy of the technical passports of the means of transport.
